Documents is an area within the Catalog system where you can store sound recordings, agreements, contracts and other items and files that are related to your Works, Recording and Releases. Understanding how document section interacts with the catalog assets within the system will enable you to get the most value from this feature and determine how to best incorporate this as part of your catalog management process.

For a complete understanding of the Documents feature and functionality it is recommended to read this help article in its entirety.

Documents Tab

Within the Detail screen of each individual asset (Works, Recordings, Releases) you will find a Documents Tab.

Documents Tab for Work Why

The Documents Tab is essentially a directory / folder which contains and displays all the files which sits within that directory. In this example we see the Documents Tab for the Work titled Why.

The Documents Tab is essentially a directory / folder which contains and displays all the files which sits within that directory.

Documents Tab: Recordings

The Documents Tab that exists for Recordings will be based upon the Work in which the Recording was created from. For example, the work titled Why has two Recording titled Why and Why 2. The Documents Tab for the work titled Why will be shared by its associated recordings which are titled Why 2 & Why.

Recordings will share the Documents Tab of the works in which they are associated (linked) with.

Adding a Folder

To add a Folder to the Documents Tab click +New > Folder. You will be presented with a dialog box for which you will type in the name of the Folder and then you will click Create.

This creates a folder within the Documents Tabs. You can create as many folders as you like.

In this example we created a folder named Why Recordings in the Documents Tab of the work titled Why.

Add a File

To add a File to the Documents Tab click +New > File. You will be presented with a dialog box where you can either Drag and Drop files or you can click to browse your local device to navigate to and select the file(s) in which you would like to be presents in the Documents Tab.

In this example we added a File called Why (Demo).mp3 to the Documents Tab of the work titled Why.

Viewing the Documents Tab via the associated Recordings:

Remember Recordings shares the Documents Tab with the work in which the Recordings are associated with. Now that we've created a folder titled Why Recordings and a file titled Why (Demo).mp3 to the Documents Tab let's view the Documents Tab from one of the Recordings Detail page.

The Documents Tab of the recording Why 2 is identical the Documents Tab of the work titled Why which Why 2 is associated with. It contains the folder and file which we created via the Documents Tab of the work titled Why

Asset creation within our system links Works and their associated Recordings the same principle applies to the Documents Tab. The Documents Tab is linked to the Work in which the recording(s) is associated with.

Documents Tab: Releases

The Documents Tab for releases follows similar logical as Recordings and Works except when it comes to Releases the contents of the Documents Tabs for releases is determined by the Recording in which the Release was created.

We will create a release called Why (EP) from the Recording Details screen of Why 2.

The Documents Tab of the release Why (EP) will be identical to the Documents Tab of the recording for which it was created from, in this example the recording Why 2.

Our system always maintains the links that exist between a Work > Recording and a Release the Documents leverages this linkage to provide a consistent and predictable experience.

The Work determines which Documents Tab experience exists for an individual Recording and/or Release.

Storage Quota

The folders and files that you create and upload to the Documents Tab uses your TuneRegistry plans storage quota.
